Enter User Name & Password of your choice and click Next:
You will see three (3) options as in above screenshot which are all self-explanatories.
Let’s choose the “Selected areas of QuickBooks” to open Sales & Account Receivable user’s rights, which includes activities such as entering invoices, sales receipts, sales orders, receiving payments, estimates and statements, and Customer Centre area:
Here you have No Access, Full Access, or Selective Access user’s permission. If you choose Selective access option, there are another 3 options within it:
• Create transactions only
• Create and print transactions
• Create transactions and create reports
Click Next and similar user’s access rights window will open for
• Purchases and Account Payable
Permissions include all areas dealing with Bills & Vendors – entering bills, paying bills, entering credit card charges, entering purchase orders, account payable reports, and Vendor Centre.
• Chequing & credit Card
Permissions include writing and printing cheques, entering credit card activities, & making deposits.
• Inventory
User with this permission can maintain inventory related activities such as entering P/O, receiving goods or items, adjusting inventory, generating inventory reports, and Inventory Centre.
• Time Tracking
Access includes entering time sheets, importing and exporting Timer data, and generating Time reports.
• Payroll & Employees
Access to Employee Centre, Payroll Centre, create paycheques & paystubs, print payroll forms, print payroll liabilities, and generating payroll reports.
• Sales Tax
Permission include creating and editing tax codes for use on sales & purchase forms, tax items & tax agencies.
• Sensitive Accounting Activities
It includes maintaining chart of accounts, creating journal entries, reconciling bank accounts, transferring funds, accessing account to online banking, working in balance sheet register, and creating budget.
• Sensitive Financial Reporting
This area gives access to all QuickBooks reports and override other reporting restrictions placed on a user.
• Changing or Deleting Transactions
This area gives option to allow user to change or delete transaction in the areas user has access to; and to change or delete transactions that were recorded before closing date.
• Summary of user’s access rights
Click Finish and you are done.
